You send us your patient list and price list in whatever format you have, we import it, and you check a sample of records before going live. Paper charts are usually not retyped. Clinics carry the old chart forward at the patient's next visit, which spreads the work across a few months instead of one painful weekend.

How long does it take to train the team?

The front desk needs about an hour. Dentists usually need one session on charting and treatment plans. We run the training online with your own data loaded, so people practise on real patients rather than a demo clinic, and we stay on call through your first full week.

What is actually included in the free trial?

Accepted Answer

Fourteen days of the Practice plan, with no call required. You link a payment method when you sign up and nothing is charged until day fifteen, so cancelling before then costs you nothing. You can load real patients during the trial, and if you subscribe everything you entered stays exactly where it is.

Do we need to buy new computers?

No. Clodous runs in a browser, so any laptop, desktop or tablet made in the last several years is fine, including the machines you already have at reception. There is no server to install in the clinic.

Where is our patient data kept and who can see it?

Your records are held in encrypted cloud storage, encrypted both in transit and at rest. Only staff you invite can open them, and role-based access means the front desk does not see clinical notes unless you decide it should. Every view and every change is written to an audit log you can read.

Does Clodous meet Philippine data privacy requirements?

Clodous is built around the Data Privacy Act of 2012 and the record-keeping expectations that apply to dental practices. We sign a data processing agreement with every clinic, and we will walk your data protection officer through our controls before you commit.

If we leave, do we keep our data?

Accepted Answer

Yes. The records belong to your clinic, not to us. You can export patients, appointments, clinical notes, charts and financial history at any time in open formats, and we will produce a full export within five working days of a written request.

What happens when the internet goes down?

Accepted Answer

Clodous keeps working on any connection that still has signal, including a phone hotspot, because it is a browser application rather than a large download. During a full outage the clinic can see the printed or exported day sheet, and anything recorded on paper is entered when the line returns. We are honest about this: a cloud system needs a connection, and clinics in areas with unreliable service should keep a backup line.

Can dentists chart the way they already do?

Charting is per tooth and per surface, on both adult and paediatric charts, with periodontal pocket depths and intraoral findings kept alongside. Conditions and procedures use the terms your clinicians already use, and you can add your own procedure codes and prices.

We have more than one branch. Does everything get mixed together?

Accepted Answer

No. Each clinic keeps its own schedule, chairs, stock and staff. What is shared is the procedure catalogue, the price list and the patient record, so a patient seen in one branch is recognised in another. Owners get reporting across the whole group without logging in five times.

Can we store x-rays and intraoral photos?

Accepted Answer

Yes. Radiographs, intraoral photographs and scanned documents attach to the patient and to the visit they belong to. Storage is included in every plan and increases with the tier. Clodous does not replace your imaging sensor software, it stores and organises the output.

What does the patient actually see?

Accepted Answer

Patients get a private page where they complete medical history and consent before the visit, view their treatment plan and outstanding balance, download receipts, and request an appointment. They never see clinical notes or anything belonging to another patient.

Is pricing per user or per clinic?

Accepted Answer

Per clinic. On the Practice and Group plans you can add as many staff accounts as you need without the bill changing, because charging per receptionist is a good way to make a practice share logins.

Are we locked into a contract?

Monthly plans are month to month and you can cancel from inside the app. Annual billing is a twelve month term charged as ten months. Group and Enterprise agreements are annual.

Who do we talk to when something goes wrong?

Accepted Answer

A support team in Metro Manila, Monday to Saturday from 8:00 to 20:00. Practice plans get email and phone. Group plans get a named contact who knows your setup, so you are not explaining your branch structure again on every ticket.

Can we change plans later?

Accepted Answer

Yes, in either direction, from the billing page. Upgrades take effect immediately and are prorated. Downgrades take effect at your next renewal so nothing is cut off mid-month.
